When to Email Judges

Know when to email judges throughout an event.

Written by Michael

The Messages tab lets you communicate with judges throughout an event. You can send invitations, provide event updates, and follow up on ballot activity using recipient subsets.

Before the Event

  • Send invitations: Invite judges to participate and share event details.

  • Provide instructions: Share important information before the event begins.

  • Send reminders: Remind judges about upcoming event requirements.

During the Event

  • Remind judges to open their ballots: Target judges who have not opened the ballot.

  • Follow up on voting: Contact judges who have not voted.

  • Track ballot completion: Remind judges who have not completed the ballot.

  • Share event updates: Communicate important announcements or schedule changes.

After the Event

  • Follow up on ballot activity: Check whether judges have opened or completed their ballots and whether they have voted.

  • Send closing communications: Share relevant post-event information or thank judges for participating.

Target Judges by Ballot Activity

RocketJudge provides the following recipient subsets to help you reach the right judges:

  • All Judges

  • Judges who have opened the ballot

  • Judges who have not opened the ballot

  • Judges who have voted

  • Judges who have not voted

  • Judges who have completed the ballot

  • Judges who have not completed the ballot

These options help you tailor messages to judges based on their ballot activity, rather than emailing everyone for every reminder.

For instructions on creating and sending messages, see How to Email Judges.
